AI disclosure statement

Every MeetCrew teammate is artificial intelligence, and it is built to say so — in the participant list, on screen, and out loud. This is the plain-language account of how a teammate discloses itself in your meetings. It describes how the product is designed to behave; it is not legal advice.
It is a named participant
A teammate appears in the meeting's participant list under its display name, with an AI badge. It is designed to join as a visible, named participant rather than as a hidden background bot.
It is labeled on screen
An "AI colleague" banner is composited into the video the teammate sends, and it is intended to remain present for the whole meeting. The banner ships on by default and is not designed to be removable by end users. Because meeting platforms render and re-encode video in ways outside our control, we cannot guarantee the banner is visible in every downstream view, but our design goal is continuous, per-frame labeling.
It introduces itself out loud
When a teammate joins, it is designed to audibly identify itself as an AI participant.
Its output is watermarked
Synthesized speech is designed to carry an audio watermark, and stored artifacts are designed to carry C2PA-style content credentials recording what was generated, when, and by which teammate. Detection depends on tools and platforms outside our control, so we describe these as provenance signals rather than guarantees that any given recipient will detect them.
Anyone in the meeting can opt out, live
A participant can ask the teammate to step back — for example, "[Name], please leave" or "don't remember this conversation." The teammate is designed to honor such a request promptly and to log it. Recognition of a spoken request depends on the audio it receives, so we describe this as designed behavior rather than an absolute guarantee for every phrasing or condition.
It joins only where authorized
A teammate is designed to join only the meetings a tenant administrator has authorized. Authorization is managed through Microsoft Entra, one MeetCrew tenant to one Entra tenant.
No voice biometrics
MeetCrew does not create or store voiceprints or any voice-derived biometric identifier. When a teammate recognizes the same person across meetings, it uses Microsoft Entra platform identity — email and display name — and never voice.
Your responsibilities
These disclosure features help you be transparent, but they do not replace your own legal obligations. You remain responsible for obtaining any recording, monitoring, or participation consent your jurisdiction, your participants' jurisdictions, or your own policies require, and for configuring the Service accordingly.
